Job Summary

This full-time position is responsible for performing daily duties for the operation of the Clerk & Master’s office, with a focus on Case Management and Court Filings.

Salary Range: $35,000-$38,000

Qualifications

  • Post-secondary education is preferred or alternatively, at least two (2) years of experience in a legal or court field.
  • Excellent communication and interpersonal skills.
  • Ability to work as a team in a fast-paced office, and independently per responsibilities.
  • Good comprehension, reasoning and writing skills is a must.
  • Computer skills and use of Microsoft software is helpful.

Duties and Responsibilities

  • CUSTOMER SERVICE: Assist the public, attorneys, other agencies & courthouse staff by providing professional, respectful, courteous and responsive court services for Chancery Court.
  • CASE MANAGEMENT: Assist with court filings that could include motions, orders, completing civil summons, issuing subpoenas, making entries on the docket, working with divorce and child support papers, monitoring accountings for conservatorships or guardianships and other tasks as needed. Understand Civil Procedures and Local Rules to provide assistance in determining next steps. Follow up on cases, including adding fees, copying and scanning.
  • COURTROOM SUPPORT: Provide support for Chancery Court by preparing for court days by maintaining, reviewing and understanding the docket, reviewing upcoming case files, ensure bailiffs are scheduled, attend/assist in the courtroom when needed and provide security for the court records to ensure all exhibits and files are intact and refiled.
  • DELINQUENT TAXES & TAX SALE: Work with the tax attorneys to accept and process delinquent tax suits, publications, processing orders and establishing and collecting fees for delinquent taxes, tax sale and redemptions. Provide assistance in conducting an annual sale or other special sales as authorized by a Judge and State Statutes. A tax sale is scheduled and held annually, with all staff required to work.
  • PASSPORTS: Assist passport applicants, ensuring accurate and timely completions and provide assistance with photos as required. In order to assist with passport applications, training and maintain a certification annually is required.
    • Daily tasks may include, but not limited to:
      • Front counter customer service
      • Answering phones
      • Timely communication and correspondence
      • Daily receipting and balancing cash drawer
      • Maintain and protect court files/records
      • Attend hearings and assist the judge
      • Keep court records up to date through data entry, copying, scanning and organizing
      • Create legal documents
      • Perform calculations for court fees and delinquent taxes
      • Understand archiving and public records procedures
      • Prepare and maintain detailed court docket and calendar
      • Schedule hearings and passport applications
      • Process passport applications and take photos
      • Maintain attention to detail and accuracy of information
      • Prioritize work assignments
      • Understand monthly and annual reporting requirements
      • Utilize the current electronic court systems to maintain records and reports, including the ability to learn new or updated systems as necessary

Physical Requirements

  • The location of the Clerk & Master office is in the Roane County Courthouse, on the 2nd floor and includes the adjacent Chancery Courtroom, as well as the 3rd floor storage room or other offsite locations as necessary. The ability to lift and carry boxes up to 30 pounds will be helpful.
